Terms
Submitter
The submitter is the individual logistically responsible for submitting the pre-formed submissions in the online submission portal.
- Responsibilities include:
- Communicating with participants
- Creating the event submission using the online submission portal
- Completing the submission task list
- Ensuring participants complete individual task lists
- Communicating any changes to event participants
- Submitters are required to identify themselves as a participant by completing a participant profile in the submission process.
- There is no limit for the number of events submitters complete if they are not event participants. Please review role limits of live-streamed participants below.

Submission
- The submission is the information provided to the program chairs for Raising Our Voices, for use during review.
- Submissions will request the following information:
- Submitter name, organizational affiliation, & email address
- Event type (live-streamed or view-on-demand)
- Submission type
- Submission title
- Description of the submission (up to 250 words)
- For applicable view-on-demand events, a "TalkBack" event opt-in
- If applicable for virtual posters, co-author information
- Participants information (name, organizational affiliation, & email address)
- Individual participants are required to complete the following:
- Release of event/work to be recorded and distributed
- Agreement to honor AAA's ethics/professional responsibilities and sexual harassment policies
- Confirmation to share materials to OARR
- Confirmation to review and follow virtual accessibility guidelines
- Access needs and/or accommodation requests question
- Policy/consent
- Submissions are not guaranteed acceptance and presentation during the Raising Our Voices series. However, acceptance rates for view-on-demand event types are anticipated to be extremely high, while live-streamed acceptance will be far more competitive.

Event Type
Event type determines whether a submission will be available for live-stream or view-on-demand (pre-recorded) access on the Raising Our Voices platform.

Submission Type
Submission type designates which kind of event a submitter is intending to host or upload.
- Submission types available for live-streamed events are interviews, conversations or debates, and roundtables / "town halls".
- Submission types available for view-on-demand events are podcasts, virtual posters, three-minute thesis competition, and talks.

Roles
Live-Streamed Participant
The live-streamed participant role is the overarching term for lead contributing and contributing participants of live-streamed events.
- Live-streamed participants of Raising Our Voices may only participate in one (1) live-streamed event for the entire duration of the virtual fall event series.
- You can either fulfill your one (1) live-streamed participant limit as a lead or a contributing participant.

Lead Contributing Participant
This role applies to lead contributing participants of live-streamed participants. Lead contributing participants might be hosts, moderators, or participating organizers.
- This role is not required for any of the live-streamed opportunities but is a way to denote who is primarily leading or organizing the live-streamed event.
- Responsibilities can include:
- Submitting the event
- Submitters are counted as a participant in the live-streamed event
- Organizing the idea and format of the event
- Managing the time of the event and each participant's contribution
- Interviews and the conversation/debate format should permit for approximately 15 minutes of Q&A before the end of the event.
- Roundtables/ “Town Halls” should incorporate ongoing audience engagement via Zoom’s chat feature.
- Ensuring the discussion is polite and productive
- Managing Q&A in Zoom's chat feature
- This role fulfills the one (1) participant limit on live-streamed events.
- Any one participant cannot hold both a) lead contributing participant and b) contributing participant title. Both roles are welcome to contribute the live-streamed event.
- Live-streamed event role minimum: 0
- Live-streamed event role maximum: 2

Contributing Participant
The live-streamed participant role is applied to any participant in the interview, conversation/debates, or roundtable/"town hall" submission types who are not in some way taking lead contributing for the event.
- All participants in a live-streamed event can be designated as contributing participants without any lead contributing participants.
- This role fulfills the one (1) participant limit on live-streamed events.
- Any one participant cannot hold both a) lead contributing participant and b) contributing participant title. Both roles are welcome to contribute the live-streamed event.
- Live-streamed event role minimum: 1
- Live-streamed event role maximum:
- 6 for interviews and conversations/debates
- 8 for roundtables/"town halls"

View-on-Demand Participant
The view-on-demand participant role is applied to any participant in the podcast, virtual poster, three-minute thesis competition, and talk submission types.
- There is no limit for the number of view-on-demand events in which a participant appears.
- View-on-demand event role minimum: 1
- View-on-demand event role maximum:
- 1 for three-minute thesis competition
- 2 for virtual posters and talks
- 4 for podcasts
